Communication
Tools
| Tool | Purpose | Notes |
|---|---|---|
| Feishu (Lark) | Daily communication, instant messaging | Primary collaboration tool |
| Docs (Feishu/Notion) | Proposals, decision records, project docs | All documentation lives here |
| Formal notices, external communication | Not used internally | |
| Video calls | Creative discussion, urgent decisions, 1-on-1s | Only when async is insufficient |
Tool selection principle: if one tool can handle it, do not use two. Prefer tools with free plans or open source.
Response Time
| Type | Expectation |
|---|---|
| Regular messages (same zone) | Within 12 hours |
| Regular messages (cross zone) | Within 24 hours |

| Proposal and document reviews | Within 48 hours |
Do not follow up outside the other person’s declared availability window.
Public vs Private
Default to public channels. Private communication is acceptable for: personal privacy, contract details, personnel changes.
Decisions made in private must be summarized in a public channel. Share the conclusion only — the process does not need to be shared.
Documentation Principle
Conclusions from verbal discussions are written back into documents. If it is not written in a document, it does not exist.
Specific requirements:
- Within 24 hours after a meeting, the initiator writes conclusions into the relevant project document or handbook page
- Agreements reached in instant messages must be documented by the parties involved
- After a document is updated, post a link in the public channel — no additional explanation needed
